Our Process

A Clear, Practical Path
from Idea to Implementation.

We handle the discovery, design, build, testing, and launch — so you can focus on running your business while we build the automation around it.

The 5-Step Process

From our first conversation to a live, tested automation — here is exactly what to expect at every stage.

Step 1

Discovery Call

We learn about your current workflow, existing tools, pain points, desired outcomes, team size, and any operational or technical constraints. This isn't a sales pitch — it's a focused working conversation designed to determine whether automation makes sense for your situation and where the real opportunities lie.

What you'll walk away with: A clear sense of whether automation is a practical fit for your business and where the best opportunities are — no obligation to proceed further.

Typically a focused 30–45 minute conversation
Step 2

Workflow Mapping

We document the specific process in detail: triggers (what starts the workflow), actions (what the system does), decision points (what determines each path), and integration requirements (which systems need to connect). Critically, we also agree on escalation rules — the conditions under which the automation should hand off to a human.

What you'll receive: A complete workflow map before any build begins, so both parties have aligned expectations and there are no surprises during development.

Step 3

Build & Integration

We configure the AI agent or automation logic, connect supported business systems using secure APIs or integrations, define permission levels, and implement the agreed workflow. Every element is built against the specification we mapped together — nothing is added or changed without your knowledge.

What to expect: Build timelines vary based on scope and integration complexity. We'll provide a realistic estimate during the workflow mapping stage, not before.

Step 4

Testing & Training

Before going live, we run the automation through realistic scenarios — including edge cases, failure paths, and unusual inputs that real users might generate. We don't just test the happy path. Alongside technical testing, we walk your team through how to use, monitor, and work alongside the automation day-to-day.

What you'll get: A refined, tested solution and a team that knows how to use it — before a single real interaction is handled by the system.

Step 5

Launch & Optimization

We deploy the solution into your live environment and monitor its initial operation closely. Real-world conditions often reveal small adjustments — timing, phrasing, routing logic — that testing alone can't predict. We review performance, address any issues, and make data-informed refinements as the system settles in.

Ongoing support: Availability of continued monitoring and support beyond launch depends on the engagement. We'll discuss ongoing options before launch.

Built-In Safeguards

Automation with a Human in the Loop

Automation shouldn't mean removing human judgment from important decisions. Sensitive situations, unusual requests, distressed interactions, and anything outside the agreed scope can all be configured to route directly to a person — with full context preserved. We define exactly where these escalation paths are during the workflow mapping step, before any build begins.

Urgent or Distressed Callers

If the system detects tone, keywords, or context indicating urgency or distress, the interaction is immediately routed to the designated on-call team member — with a summary of what was said.

Unusual Quote Requests

A quote request that falls outside normal parameters — unusual volumes, custom specs, or ambiguous requirements — is flagged for human review before a response is sent, preventing costly errors.

Customer Complaints

Complaints are never handled by automation alone. The moment a complaint is identified, it is escalated directly to the appropriate staff member with context intact — no automated replies, no deflection.

Questions Outside the Knowledge Base

If a question falls outside the approved knowledge scope, the system won't guess. It forwards the query to the right person with the full conversation context, so they can respond without asking the customer to repeat themselves.

What the Process Requires from You

We've designed this process to be as low-friction as possible. Here's what we'll need from your side to get the project moving.

  • A 30–45 minute discovery call with the right decision-maker or operational lead
  • Access to relevant workflow information — how things work today, what tools are used, who is involved
  • Relevant system credentials or API access where needed — we'll walk you through what's required and how to provide it securely
  • A team member available to participate in testing, review outputs, and support the launch phase

No technical expertise required on your end. We handle the complexity — you focus on your business.

Systems We Can Work With

We work with commonly used business tools across a wide range of categories. The goal is to connect your automation to the systems your team already relies on — not to introduce new complexity.

Note: Integration availability depends on the specific tool, the plan you're on with that provider, and the scope of your project. We'll confirm which integrations are supported and how they'll be implemented during the discovery call — no assumptions made on our end beforehand.

How Long Does It Take?

An honest answer depends on your specific situation.

Scope determines the timeline — always.

A simple single-workflow automation with one integration may be ready significantly sooner than a complex multi-system agent handling several different interaction types. The number of integrations, the complexity of decision logic, the volume of edge cases, and how quickly we can align on the workflow map all affect how long the build takes.

We won't give you a timeline before we understand your project. During the workflow mapping step, we'll provide a realistic estimate that reflects what we're actually building — not a number we made up to win the engagement.

The best way to understand your timeline is to start with a discovery call.

Frequently Asked Questions

Straightforward answers to the questions we hear most often before projects begin.

Do we need IT support to get started?
No. You don't need an in-house IT team or technical staff to work with us. We handle the technical setup, integration configuration, and system connections. Where we need access to your tools or credentials, we'll walk you through exactly what's required and the safest way to provide it. Most of our clients are business operators and managers — not technical staff.
What if our tools don't support integration?
We'll assess this during the discovery call and confirm during workflow mapping. If a particular tool doesn't support API access or integration at the level needed, we'll tell you clearly and discuss practical alternatives — whether that's a workaround, a different approach, or a tool migration that might benefit you anyway. We won't build around a limitation and leave you with a fragile solution.
How do we know the automation is working correctly?
Through a combination of structured testing before launch and monitoring after it. During testing (Step 4), we run realistic scenarios — including failure cases — and you review the outputs before anything goes live. After launch (Step 5), we monitor initial performance and address any anomalies. We also train your team to spot issues and know what to look for, so oversight doesn't depend entirely on us.
What happens if something goes wrong after launch?
We're responsive during the post-launch period and address issues that emerge from real-world conditions. The scope and duration of post-launch support depends on your engagement terms — we'll be clear about what's included before you sign off. For ongoing support arrangements beyond the initial engagement, we can discuss what makes sense for your situation.
Can we adjust the automation after it's live?
Yes. Adjustments to responses, routing logic, escalation thresholds, tone, and knowledge scope are all possible after launch. Some changes are straightforward and quick; others — particularly structural workflow changes — may require a more involved update. We'll be transparent about what any given change entails before committing to it.
Is our business data secure?
Data handling and security are taken seriously throughout every project. Access credentials are managed securely, data is handled in accordance with our agreements, and we don't retain client data beyond what's required to operate and support your automation. If your business is subject to specific compliance requirements (such as HIPAA, GDPR, or industry regulations), we'll discuss those constraints during discovery and ensure the approach is appropriate for your context.
